Q4. In this role it is anticipated that you will be quoting projects on a daily basis. You will respond to client enquiries and tender requests and support our sales team by developing detailed quotes for the supply of steel fencing/gate solutions and liaise with customers to fully detail the specification of each job. These projects will be for the supply and installation of steel fencing and gate solutions both to industrial and commercial construction sites. This work will require site assessment & inspection and coordination with our production team, external suppliers and contract installers to ensure that each project is fully specified, quoted and planned. Your overarching goal is to ensure that all projects are quoted accurately, started and completed on time, installed within budget and delivered to the agreed professional Otter Fencing standard.*
This will include things like

• Responding promptly to initial enquiries and providing the customer with a formal quotation formalising quotation
• Interpreting tender documents and developing a quotation
• Attending site and confirming specifications for supply and installation
• Managing the client relationship through the quote, planning, production and installation process for each project
• Providing clients with advice on different specifications and maintaining a full documentation pack for each client – quotes, specifications, drawings, order/contract, inclusions, variations, expectations of all parties
• Following up quotes promptly to ensure customer queries are resolved and order flow is maintained.
• Ensuring that an accurate bill of materials and allowances for labour are carefully calculated to cover costs, maintain margins and to ensure that production, purchasing and installation schedules are achievable.

Q5. Once an order has been confirmed, this role will then ensure that each project is managed through production and installation as per the schedule agreed with the client. This means coordinating with our customers and internally with our procurement, production and installation teams to ensure the specified project is delivered in full, on time and within budget. This will mean coordinating multiple projects concurrently.*
This will involve things like:

• Project scheduling and record keeping
• Travelling out to worksites and completing site assessments and inspections
• Selecting and allocating the right sub-contract Fencing Installer for each job to ensure that each job is completed professionally
• Attending daily job scheduling meetings to review and revise the schedule for work on hand, ensuring that work is structured and timed efficiently and to the maximum benefit of the business
• When a new job has been won, ensuring a bill of materials is prepared in time to ensure the client’s expected start date can be achieved
• Working closely with the Production Manager to ensure the materials for each job are available in time for the scheduled delivery date
• Confirming onsite OH&S and site inductions requirements as well as preparing a job specific Job Safety Analysis (JSA) or Safe Work Method Statement (SWMS) for each project undertaken
• Coordinating with the client to ensure the installation site is installation ready, including confirmation of services locations and assessment of any underground/unseen impediments to installation works
• When necessary, delivering material to site to keep the job moving and tracking on time
• Co-ordinate with Otter Fencing’s sub-contractor to ensure that the job is installed, completed and the site cleaned in line with client expectations and Otter Fencing standards

Q6. In this position your ability to communicate well with others and build great workings relationships will be key to your success. Inside the business you will work closely across our team including our General Manager, Estimating Team, Production Manager, Production Scheduler, Sales/Customer Service/Admin team and subcontracting Fencing Installers. Outside the business you will communicate and collaborate with our Customers and other onsite trades. The effectiveness of your communication and the quality of the relationships you build will maintain our reputation in the market and enable repeat and referral business from our customer base.*
This will involve things like:

• Lead generation; via the development of onsite relationships and networking.
• Ensuring that any defects that may arise are dealt with in a timely and professional manner.
• Ensuring that any customer complaints are dealt with in a timely and professional manner.
• Following jobs through to completion and ensuring each installation project meets the customer’s expectations.
• Attending site locations to deal with customer enquiries and to ensure that their enquiry is dealt with to the customer’s satisfaction and to confirm expectations for delivery period.
• Always carefully checking with customer, that job details and specifications are clearly understood, by both parties before starting a project.
• Always advising customers to clearly define underground obstructions for in-ground installation jobs.
• Liaising and co-ordinating with customers when work is to be installed and co-ordinating with Otter Fencing’s Installer to ensure that the job is installed, completed and the site cleaned up on time, in a professional manner that is expected by the customer and by Otter Fencing.
